Job Description

The Senior Implementations Project Manager is a key leader within both implementations and OpenTempo, guiding both external and internal teams to successful definitions of done. Responsible for the direction, coordination and control of large implementation projects, this individual will complete implementation projects ensuring alignment with the strategy, commitments and goals of the client and OpenTempo teams. As a leader within the Client Operations organization, this individual will support and guide Implementations Project Managers in best practices utilizing multiple project management methodologies, applying the right tools at the right time through a hybrid environment of agile and traditional project management activities.

The Implementation Project Manager primary responsibilities are to:

  • Lead and manage clients’ implementation projects to ensure that all members of the client and OpenTempo teams work efficiently to meet the goals of the project
  • Act as a technical leader and provide mentorship and support to OpenTempo Implementation project managers
  • Collaboratively develop and maintain the right documentation to ensure that project plans, project statuses, individual tasks and milestones, completion estimates, and resource allocations are executed effectively
  • Communicate through various transparent methods to provide effective communication of the right project information at the right place, right time, and in the right way

Key Internal Relationships

The Implementations Project Manager will be part of the Client Operations team and will report to the Vice President of Client Operations.  He/she will work closely with peers around the company, primarily:

  • Directors of Sales & Account Executives: Collaborating on pre-sales discussions both with Directors of Sales and customers to build detailed and accurate SOWs
  • The Vice President of Client Operations: Ensuring excellent communication and coordination, particularly regarding resource/timeline requirements for new deployments and executing on the technical build-out of individual departments/practices
  • Implementation Specialists & Project Managers: Collaborating on the tactical execution of implementation projects, particularly those that are complex in scope and include multiple stakeholders, and/or are strategically significant to the growth of OpenTempo
  • Implementation Specialists: Ensuring the smooth and timely completion of the technical build phases of implementation projects
  • Implementations, Development and Client Services team members who are resources for the individual departments/practices

The core success criteria of this position are as follows:

  • Overall customer satisfaction at both the corporate and department/practice levels
  • Protect OpenTempo’s interests while maintaining customer satisfaction through excellent objection handling
  • Quick identification and mitigation of project risks
  • Low volume of customer escalations and excellent resolution of any that do arise
  • Excellent communication with key customer stakeholders, sponsors and steering committees about planned and actual progress and risks
  • Accuracy of planned project milestone dates
  • Customers serve as excellent references to other multi-department/practice prospects

Duties and Responsibilities

  • Organize clients’ implementation projects and ensure that all members of the client and OpenTempo teams work towards successful definitions of done
  • Coordinate regular team collaboration and continuous improvement activities of project management practices
  • Develop and maintain project documentation following organizational and industry best practices
  • Ensure continuous and effective communication at all stakeholder levels
  • Support sales activities as assigned to ensure excellence in implementation preparation
  • Coordinate the internal teams to support the implementation of departments, practices, and health systems
  • Manage all implementation customer escalations, resolving them in a timely manner by leveraging resources from across the organization and facilitating plans to remediate issues
  • Effectively collaborate with other internal and external leaders to achieve the best possible outcomes for OpenTempo and its customers
  • Identify and participate in departmental process improvement efforts to optimize project planning and execution, cross-team collaboration, and overall implementation team efficiency and effectiveness
  • Keep update-to-date information in OpenTempo’s project management software at all times
  • Motivate implementation teams to meet or exceed goals and objectives
  • Up to 60% travel required
  • Other duties as assigned

Qualifications

  • Five years project management experience including agile methodologies
  • 1-2 years leading enterprise projects
  • Demonstrated experience to manage customer relationships and develop customer trust with Medical Directors, Department Heads and C-Suite customers
  • Demonstrated leadership skills and performance in leading, influencing, and motivating multi-disciplinary teams
  • Proven success managing multiple projects simultaneously with varying level of complexity and size
  • Demonstrated success in leading cross-team efforts
  • Demonstrated ability to execute and comply with best practices and identify and act on opportunities for improvement
  • Commitment to help drive a leading edge of OpenTempo’s future

Preferred Skills

  • Project management certification (PMP, PMI-ACP, CSM)
  • Experienced in multiple project management software platforms
  • Advanced facilitation
